How does ClickUp guest access differ by plan?

Two more rules catch people out:

  • People who use your organization's email domain are not guests on paid plans. They are billed as members.
  • If you need a permission-controlled guest seat and you have none left, that person is billed like a member.

Free Forever is fine for internal collaborators who can have full edit rights. It is usually the wrong plan for client sharing, because you cannot limit a guest to view or comment. Most client-facing teams should plan on Unlimited at minimum.

What should clients see, and what should stay internal?

Design sharing around the smallest useful surface.

Usually safe to share with a client guest:

  • The client Folder or the specific project List
  • Tasks in Client review or Approved
  • A shared Calendar or Board filtered to that client
  • A Doc with the brief, milestones or weekly update

Usually keep internal:

  • Internal review comments and redlines
  • Pricing, margin and staffing notes
  • Other clients' Folders
  • Private team Spaces
  • Strategy Docs that are not meant for the client yet

A simple status model helps: To do, In progress, Internal review, Client review, Approved, Done. Automations can notify the account manager when work hits Client review. Clients invited only to the client Folder never see a private internal List in another Space.

A practical client-sharing setup

  1. One Folder per client inside a Client work Space.
  2. Lists for projects or retainer months inside that Folder.
  3. Invite the client as a guest on the Folder or on specific Lists, with view or comment permissions unless they must edit tasks.
  4. Use view-only guests for stakeholders who only need visibility.
  5. Share a saved view when the client should see a filtered Board or timeline, not the raw List clutter.
  6. Put the weekly update in a Doc linked from the Folder so status lives in one place.

If you are still on Free Forever and need comment-only or view-only clients, upgrade before you invite them. Full-edit guests are hard to unwind after a client has already changed tasks.

Guest seats versus paid members: do the math

Unlimited guest seats are not unlimited in the permission-controlled sense. Example from ClickUp's stated Unlimited allotment:

  • Switch some people to view-only
  • Move editing work back to your team
  • Upgrade to Business for more guest seats
  • Accept that extra people bill as members

Common guest-access mistakes

  • Inviting clients on Free Forever and discovering they can edit everything you shared.
  • Sharing a whole Space instead of a Folder, so new Lists appear in the client's sidebar by accident.
  • Using the company email domain for contractors and getting unexpected member billing.
  • Putting internal critique in client-visible task comments instead of an internal-only List or private Doc.
  • Promising unlimited editing guests without checking the paid-plan allotment.
  • Skipping a template. Every client Folder should start from the same permissions and status set.

How guest access compares with alternatives
