ClickUp Recurring Tasks: Schedules, Options and Limits

How ClickUp recurring tasks work: schedules, when the next task is created, what copies over, and the limits on every plan.

Short answer

ClickUp recurring tasks are available on every plan, including for guests. You set a due date and a schedule, then choose whether the task recurs when it is done, when it is closed, or on the calendar. Paid plans can show future occurrences on Calendar view.

ClickUp recurring tasks remove the weekly job of recreating the same client update, agenda or maintenance check. You set the schedule once. ClickUp creates the next instance from that schedule, or reuses the same task, depending on the option you pick. Recurring tasks are on every plan. The Calendar trick that shows future occurrences is not.

What are ClickUp recurring tasks?

ClickUp Help describes recurring tasks as a way to drop the admin on repeatable items: weekly reports, meeting agendas, client updates. The due date is the date the task recurs. You can also set a start date. That start date always sits the same number of days before the due date on later instances.

If you do not set a time, the task recurs at 11pm in the timezone of the person who saved the recurring schedule. You can set a time in the date modal if 11pm is the wrong hour.

Everyone, including guests, can create recurring tasks. An existing task can be set to recur only if it is in a Not Started, Active or Done status. A task that is already Closed will not recur until it leaves that status.

Which schedules can you set?

Open the dates on a task, choose Set recurring, set the due date, then pick the schedule. ClickUp Help documents these options.

Two other switches decide how long it lasts. Recur forever keeps going. Turn that off and you can set a repeat count or an end date. Skip weekends keeps a daily or custom day-based task off Saturday and Sunday.

Use an end date for a retainer that finishes with the contract. Use recur forever for a standup agenda that should outlive the quarter.

When does the next ClickUp recurring task appear?

The schedule is the calendar. The Recur setting is the trigger. ClickUp Help lists three.

There is a sharp edge. If you mark a recurring task closed before the due date, ClickUp creates the next instance immediately. That is also true for On schedule: a task marked Done or Closed before the scheduled time recurs immediately, rather than waiting for 11pm. On schedule is how you let an open task wait until the calendar says so. Closing it early still moves the series forward.

Create new task is the other decision. Leave it off and ClickUp does not make a new task. The same task keeps its completed activity, subtasks, checklists and assigned comments. Turn it on and ClickUp duplicates the task in the Workspace. For a weekly client update you almost always want a new task, so each week has its own comments and time. For a single running checklist you might leave it off.

Tasks in Multiple Lists that create a new task do so only in the home List. The copy does not fan out to every List the original was added to.

Closing a recurring task early creates the next one now. If the team tends to finish Tuesday work on Monday, On schedule will not hold the next instance until Tuesday once someone marks it done.

What copies to the next task?

When Create new task is on, you choose the fields that come along. ClickUp Help lists include everything, or a subset: description, attachments, comments, comment attachments, subtasks, remap subtask dates, subtask assignees, assignees, followers, tags, checklists, keep checked items, custom fields, dependencies, relationships, activity, and only assigned comments.

Custom Relationships that use "Tasks from a specific List" are not fully supported. Those links are not carried onto the new task. Add them again after the new task exists.

Tracked time does not carry over. That is the correct behavior for billing: hours stay on the week they were worked. The timer itself is covered in ClickUp time tracking.

Remap subtask dates shifts subtask start and due dates by the same gap as the parent. A parent that moves from July 10 to July 17 moves a subtask due July 11 to July 18. If the parent has no start or due date, subtasks keep the dates they already have.

You can change one instance without resetting the series. Only a later due date, on or after the next instance, rewrites the schedule. An earlier due date does not. ClickUp's own example: a task due on the 15th, moved to the 10th in October, still recurs on November 15. Move that October due date to November 20, which is on or after the next instance, and the following one lands on December 20. Clearing the due date without choosing Don't Recur sets future instances to recur on today's date. If a month looks skipped, stop the recurrence and set it up again.

What stops a ClickUp recurring task?

ClickUp Help lists limits that look like bugs until you read them.

  • A task with 500 or more subtasks, including nested, archived and closed subtasks, will not recur. The recurring settings are removed. Move or delete subtasks until you are under 500, then set recurrence again.
  • Tasks in an archived Space, Folder, Subfolder or List do not recur.
  • Recurring tasks do not create instances in the past.
  • Tasks can recur on non-working days. The schedule does not automatically skip your Workspace weekend unless you turn on Skip weekends.
  • If the person who created the task or the assignee leaves the Workspace, the task still recurs. Reassign it yourself.
  • Recurring tasks made from task templates cannot fire an Automation that uses the "task created" trigger with an "apply a template" action. Build the checklist on the recurring task, or use a normal Automation. ClickUp automations covers triggers that do work.

The Recurring Task Overview lists the latest instance of active recurring tasks across the Workspace. Open it from the Automations button, on the Recurring tab, or from the recurring modal. It shows the first 100 most recent tasks, with task ID, name and last run. A filter of Recurring "is recurring" shows them in a view as well.

To stop one task: open it, click the due date, click Recurs, and choose Don't Recur.

Which routines are worth recurring?

Use recurrence for work that has the same shape every cycle and a date someone expects. A client retainer, a weekly report, a monthly maintenance window and a meeting agenda fit. A vague "check in with the team" task does not, because nobody closes it and the series piles up.

Consultants running several retainers can keep one recurring task per client in that client's List. The setup pattern is in ClickUp for consultants. Agencies with a standard delivery cadence can do the same inside each client Folder.

Future rows on the calendar are a planning aid, not extra tasks. On Unlimited and above, open a Calendar view, choose Customize, then Layout options, and turn on Future recurring tasks. Those rows are occurrences that do not exist yet. They take the color of the first Active or Not Started status. Legacy recurring tasks do not appear this way. To see Closed recurring tasks on a calendar, the series needs a date and Create new task.

Unlimited is $7 per user/month billed annually ($10 monthly), which is the plan that adds future tasks on the calendar, along with the higher storage and feature limits. Business is $12 billed annually ($19 monthly). You do not need Business just to recur a task.

Set the due date, pick a schedule, decide whether each cycle is a new task, and set an end date if the work is a contract rather than a habit.

Frequently asked questions

Does ClickUp have recurring tasks?

Yes. Recurring tasks are on every plan. Everyone, including guests, can create them. A task needs a due date, because that date is when it recurs.

Can you see future recurring tasks in ClickUp?

On Unlimited and above, Calendar view can show future recurring tasks that have not been created yet. Legacy recurring tasks do not show those future dates. Free Forever does not include that Calendar option.

Why did my ClickUp recurring task stop?

ClickUp Help says a task will not recur if it has 500 or more subtasks, if it sits in an archived Space, Folder or List, or if it is already in a Closed status when you try to turn recurrence on.

Does tracked time copy to the next recurring task?

No. ClickUp Help says tracked time is not carried over to new tasks. Log time on the instance where the work happened.

How do you stop a task from recurring in ClickUp?

Open the task, click the due date, click Recurs, and select Don't Recur. Clearing the due date without that step reschedules future instances onto the current date.
