ClickUp for consultants works when each client is a Folder, the proposal lives in a Doc, and time is tracked on the tasks you will bill. Unlimited adds native time tracking and guest permissions. Business is the plan where billable time entries and fuller reports start.
ClickUp for consultants is a Workspace for engagements: the proposal, the tasks, the client's review and the hours you will invoice. It fits a solo consultant or a small practice better than a stack of a doc tool, a to-do list and a separate timer. It is more setup than a simple board, so keep the structure boring and repeat it for every client.

Is ClickUp good for consultants?
Use it when the engagement is the product. You sell a diagnosis, a plan or a defined piece of work. You need a place for the scope, a list of tasks, a way for the client to comment, and a record of time. ClickUp puts those in one Workspace: tasks, Docs, guests and time tracking.
Skip it, or keep it very small, if you only need a personal task list. Asana is the better fit when the practice wants a polished timeline and will live without native time tracking on the cheaper plan. Asana Starter is $10.99 per user/month billed annually. ClickUp Unlimited is $7 per user/month billed annually, or $10 billed monthly. Prices were checked in October 2026.
The trade-off is complexity. ClickUp can model a consulting workflow in detail, and it will, if you turn every ClickApp on. Start with one Space, Folders, Lists, Docs and time. Add dashboards and automations after two engagements have used the same setup.
How should consultants structure client work?
ClickUp's hierarchy is Workspace, Space, Folder, List, task. For a practice, that maps cleanly:

Guests cannot be invited to a Space. ClickUp Help says you share an item or a location with them. Share the client Folder or the engagement List. Leave the internal List, the one with your margin notes and pricing drafts, unshared.
On Free Forever, guests get full edit access to whatever you share. You cannot set them to view only. On paid plans, permission-controlled guests can be View only, Comment, Edit or Full edit. ClickUp's pricing page, as recorded in our Free vs Unlimited comparison, includes permission-controlled guest seats on Unlimited, plus unlimited view-only guests. People who use your organization's email domain cannot be added as guests.
A status set you can reuse, created on the Space so every client Folder inherits it:
- To do
- In progress
- Internal review
- Client review
- Done, in the Done group, so the readout stays visible and is not treated as overdue
- Complete, the default Closed status
How those groups behave is in ClickUp custom statuses. Do not invent a new status set per client. That is what makes a cross-client view useless.
How do you write proposals and share them?
ClickUp Docs are available on every plan, including for guests. A proposal or statement of work is a Doc on the engagement: outcome, scope, timeline, fee, and what is not included. You can add it as a Doc view on the List so it stays attached to the work. ClickUp Docs covers pages, wikis and sharing.
To send it to someone who is not in the Workspace, open Share, enter their email, choose the role, and set Comment or View only. They get an invite. On the Business plan and above, Docs can be private, and Docs created in Docs Hub are private by default. Export from a Doc is PDF, HTML or markdown if the client needs a file outside ClickUp.
A short Doc template is enough. ClickUp templates cover Docs as well as Lists. Save the proposal after it has worked once. The next engagement starts from that Doc, not from a blank page.
Keep the proposal and the delivery tasks linked. Select text in the Doc and create a task from it, or add a relationship between the Doc and the List. The scope and the work then point at each other when the engagement changes.
How do consultants track time and fees?
Time is why many consultants leave a simple board. ClickUp has timers and manual entries on tasks. Free Forever lists native time tracking as a trial. Unlimited includes it. The setup steps are in ClickUp time tracking.
Track on the task, not on the Folder. "Draft findings" with two hours is something you can explain. "Northwind" with forty hours is not. At the end of the billing period, filter by the client Folder and the dates.
ClickUp Help places marking a time entry as billable on the Business plan and above. On Unlimited you can still see tracked time. The Billable Report and Timesheet cards are Business dashboard cards, covered in ClickUp dashboards. If the invoice depends on a billable flag inside ClickUp, budget for Business before the first monthly close, at $12 per user/month billed annually or $19 billed monthly.
A few custom fields help, if you keep them identical on every engagement. ClickUp Help documents these types: Dropdown, Money, Date and Checkbox. Examples that match those types:
- Engagement type, a Dropdown, such as diagnostic, retainer or workshop
- Fee, a Money field
- Proposal sent, a Date
- Change request, a Checkbox
Free Forever includes 60 custom field uses, and a use is counted when you set a value on a task, not when you create the field. Unlimited and above include unlimited uses. Field details are in ClickUp custom fields. On paid plans you can hide a field from guests, which is how a fee field stays off the shared List.

Free Forever is a fair trial for one consultant and a couple of clients, as long as you do not need view-only guests or a real time-tracking history. Storage is 60MB. Move to Unlimited when a client must comment without editing, or when time tracking is part of the engagement. Move to Business when billing runs from billable entries and a timesheet export.

Rollout is one client, then a template. Run the next engagement from that Folder template: kickoff tasks, a proposal Doc, the standard statuses, and the same four fields.
