Short answer

ClickUp's Tasks in Multiple Lists ClickApp adds one task to other Lists without copying it. Edits and comments sync everywhere it appears. Status and Custom Fields come from the home List. A Workspace owner or admin turns the ClickApp on. Turning it off removes those extra placements, and Help says that cannot be undone.

ClickUp's Tasks in Multiple Lists ClickApp answers a problem the hierarchy creates on purpose. A task has to live in a List. Sometimes that same task also needs to show up on a sprint, a personal list, or another team's board. Duplicating it makes two tasks that drift apart. Moving it hides it from the first team. The ClickApp adds the task to more Lists and keeps a single item.

A Workspace owner or admin turns it on. Edits and comments show in every List where the task appears. Status and Custom Fields still come from the home List. The hierarchy guide is the map of Spaces, Folders, and Lists. This page is what to do when one task honestly belongs in two of those Lists. The rest of the views are on the ClickUp hub.

What are ClickUp tasks in multiple Lists?

Help's framing is practical. If you keep duplicating a task, or moving it back and forth, add it to the other List instead. The examples Help gives are sprint planning, a List of major accomplishments, and a personal List in Home. The task is tracked once. Each List is a view of it for a different group.

Breadcrumbs at the top of the task show the Space, Folder, Subfolder, and the home List, plus any additional Lists. If there are more than two additional Lists, their names collapse. You are looking at locations, not copies.

Intro to tasks in Help is the rule underneath: tasks must live in at least one List, and for a task in several Lists the status and Custom Fields are based on the home List. An additional List does not give the task a second workflow. If the home List uses To do, In progress, and Closed, that is the status set everywhere the task appears. A marketing List and an engineering List will not each impose their own statuses on the same task.

That is the design point to accept before you roll this out. Tasks in Multiple Lists is for one piece of work that several groups need to see. It is a poor fit when each group needs its own status, its own fields, and its own history. Those are two tasks, linked with a relationship if people still need to jump between them.

How do you add a task to another List?

If the ClickApp is off, Help says an owner or admin has to enable it before the add control will work. Deactivating it later is destructive, so turn it on when you mean to keep using it.

From an open task, either of these works:

  1. Click the plus icon to the right of the location breadcrumbs. Search for a List, or create one. The new List shows in the breadcrumbs.
  2. Click the ellipsis next to Share, then + Add to, then Add to another List. Search and select the List.

The Lists field, on views that show it, does the same job. Click the plus icon and pick a List. To remove one, click the collapsed List icon next to the home List name, hover the extra List, and click the X.

For a batch, use List view:

  1. Hover the tasks and select the circle on the left.
  2. On the Bulk Action Toolbar, select Move tasks or add tasks in multiple Lists.
  3. Open the Add to Lists tab and select the List.
  4. Check Send notifications if followers should hear about it.

You can also move tasks and add them back to the current List from that toolbar, or with an automation. Help's Add to List automation action uses Tasks in Multiple Lists. If the automation should add a subtask, Subtasks in Multiple Lists has to be enabled. The action uses the permissions of the person who created the automation.

Personal List, under My Tasks, can receive tasks this way, and tasks created there can be added out to other Lists. Moving a task onto Personal List is a different action. Help says a moved task inherits Personal List's sharing. A public task moved there becomes visible only to people who can open your Personal List. Add, when you want both locations. Move, when the task should leave the old one. The personal setup is in ClickUp for personal use.

What stays tied to the home List?

Treat the home List as the source of truth for structure.

ItemWhat Help says
StatusComes from the home List
Custom FieldsCome from the home List
Edits and commentsShow in every List the task was added to
BreadcrumbsShow the home List and the additional Lists
Convert to a subtaskThe task keeps its additional Lists. Its home List becomes the parent task's home List
ActivityChanges to these placements show in Activity view and on the task

Custom fields you expected to see because the task appears on a second List will not appear unless they belong to the home List. If a sprint List and a delivery List need different fields, you are looking at two tasks, or at fields on the home List that both groups can live with.

Sprints are one of Help's own cases: add a task or subtask into an upcoming sprint without taking it off the backlog List. ClickUp sprints covers sprint length, points, and rollover. Adding the task is the ClickApp. Pointing the sprint is the sprint setup. Do not expect the sprint List's statuses to replace the home List's statuses when you do this.

Before you add a task to a second List, name the home List out loud. That List owns the status. The other List is a window onto the same task.

How do you remove a task from an extra List?

Removing one placement does not delete the task.

From the task, hover the location in the upper left, open the ellipsis, and click Remove task from this List. From the Lists field, use the X on the additional List, as above.

For several tasks, select them in List view, choose Remove tasks from this List on the Bulk Action Toolbar, and confirm Remove from this List. Do this from the List you want them to leave. The home location remains.

Turning the ClickApp off is not the same as removing one task. Help is direct: deactivating Tasks in Multiple Lists removes tasks from all additional Lists they were added to, and this cannot be undone. The tasks stay in the home List. Every extra placement goes away. Turn the ClickApp off only when the team has agreed to that cleanup. There is no undo button in the Help article.

When should you copy a task instead?

Add to another List when it is the same work: one owner, one status, one comment thread, shown to a second group.

Create a separate task when the second group will finish, assign, or describe the work differently. A campaign task and a landing-page task can be related. They are not the same task with two homes. Linking them keeps the reference without forcing one status set.

A few cases that fit the ClickApp:

  • A bug that support tracks and engineering sprints.
  • A launch task that should also sit on a leadership list of commitments.
  • A task you want on Personal List this week without taking it off the client List.

A few that do not:

  • Two clients who need the same kind of work. Those are two tasks, usually from a template.
  • A handoff where the first team is done and the second team starts. Move the task, or create the next task and depend on the first.
  • A wish to show a different status in each List. The home List wins. The second status will not stick.

ClickUp is a strong fit when one Workspace already holds those Lists and you are tired of duplicate cards. A team that only runs one board per project will rarely need the ClickApp, and should leave it off so nobody adds a task to a List by accident. If you do turn it on, write down which List is home for each kind of shared work, and do not deactivate the ClickApp as a tidy-up experiment.
