Short answer
ClickUp List view is included on every plan, and ClickUp requires one on every Space, Folder, Subfolder, and List. You can group by status, assignee, priority, tags, due date, task type, several custom fields, or custom relationships. Up to 5,000 tasks load at a time.
ClickUp List view is the task list: rows, columns, and groups, instead of cards or bars. ClickUp requires one on every Space, Folder, Subfolder, and List, and the views limits article marks List view as available on every plan, including Free Forever. Unlimited List views are available on all plans, so you can add another List when one layout is not enough.
The columns only help if the statuses and fields underneath them match the work. Set statuses in ClickUp custom statuses and labels in ClickUp tags before you spend an afternoon hiding columns. Where that List sits in the Workspace is the hierarchy guide. The rest of the views are indexed on the ClickUp hub.
What is ClickUp List view?
ClickUp's views article calls List view the most common way to manage and prioritize tasks, and the most flexible way to group, sort, and filter. The same location can also have a Board, a Table, or a Calendar. List view is the one ClickUp puts there by default, next to Board.
Each row is a task in that location, or in the locations under it when you open List view on a Folder or a Space. It is not a separate copy of the work. Change an assignee here and the same task changes on the Board.
Help also sets a performance line: up to 5,000 tasks can load at a time. Past that, the view does not promise to show everything in one scroll. Filters are how you cut the location down. A Space that has become a junk drawer will feel broken before the plan limit is the problem.
How do you group and filter a ClickUp List?
Open the Group menu in the upper-left. It shows the current grouping. You can also open the settings icon in the upper-right and select Group. Help lists these group options:
| Group by | Notes from Help |
|---|---|
| Status | The usual workflow columns, as rows of tasks |
| Assignee | People responsible for the tasks |
| Priority | The priority flag on each task |
| Tags | Labels you have applied |
| Due date | When the task is due |
| Task type | Including types such as milestones, if you use them |
| Custom field | Dropdown, Rating, Checkbox, Date, Users, and Labels |
| Custom relationships | Listed for List view only |
To show every task with no grouping, click the delete icon to the right of the current grouping.
When you group by assignee, tags, a Label custom field, or a People custom field that allows more than one person, a task can match more than one group. A toggle chooses whether that task appears in one combined group or once in every group it matches. The toggle is off by default, and the choice is saved with the view. A task that appears twice is still one task. Edits sync everywhere it shows.
Filters and search show tasks that meet a rule. When filters are on, Help says only matching single-value groups are shown. After you change a view, a popup in the lower-right offers Save. Click Autosave view if every change should save on its own.
You can also group by List when the view sits at Space, Folder, or Subfolder level. That is the layout to use when one screen should show several Lists without opening each one.
How do you add columns and edit tasks in List view?
Columns are the fields on the task. To add or remove them, click the plus icon or Add to the right of the last column. You can also right-click a task and select Add a column. Create a field by clicking its name, or open the Add existing tab and toggle a field that already exists. Drag a column header left or right to rearrange it. From the header you can also move that column to the start or to the end. Drag the edge of a header to resize it.
Creating a task from the view fills in the group and the filter for you. Click Add task in the upper-right, or Add task at the bottom of a group. Help says these fields are set automatically when they are part of the view filter: status, dropdown, priority, tags, label, number, rating, text, long text, checkbox, start date, due date, closed status, and task type. A List grouped by "In progress" and filtered to you will not create a blank unassigned task in some other status.
You can also drag files from your computer onto the List. Each file becomes a new task, and the file is attached to it.
Other edits Help documents on the List itself:
- Hover the task name and click the pencil to rename it.
- If the task has a description, hover the text icon by the name to preview it.
- Hover a pinned cover thumbnail to preview the image.
- Drag a task onto another task to turn it into a subtask, or the other way around. A bold line shows where it will land. Nested subtasks work the same way.
- Hover a task, click the circle on the left, and use the Bulk Action Toolbar to change assignees, tags, archive, or delete across the selection.
The Show status progress ClickApp draws status icons as a pie that fills as tasks move toward done and closed. Subtasks have their own control in the upper-right: Collapse all, Expand all, or As separate tasks. Separate tasks is the mode that also lets subtasks appear in filter results. When to split work into subtasks instead of a checklist is covered in subtasks vs checklists.
Me Mode, in the Customize menu's default option and as a switch on the view, limits the List to tasks assigned to you. ClickUp then asks whether to include tasks where you have assigned comments, subtasks, or checklists. That prompt is why a "my tasks" List can look empty even when a comment is waiting on you. Assigned comments are their own queue in ClickUp assigned comments.
When the List is grouped by status, tag, label, dropdown, or task type, a New button at the bottom creates another value in that group. For statuses, you can type a name and press return, or open the color and the advanced status editor. Status design still belongs in the status settings, not in a one-off button, if the whole Space should share one workflow.
Which plan limits apply to List view?
List view itself is on every plan. Several controls around it are not. This table is from ClickUp's views feature limits article. Prices for Free Forever, Unlimited, and Business are from our tool data, checked October 2026. Help lists Business Plus, and our price table does not publish a Business Plus rate.
| Control | Free Forever | Unlimited | Business and above |
|---|---|---|---|
| List view | Yes | Yes | Yes |
| Tasks loaded at once | 5,000 | 5,000 | 5,000 |
| Calculate columns | No | No | Yes |
| Private views | No | No | Yes |
| Protect views | No | No | 10 uses on Business, then yes on Business Plus and Enterprise |
| Set a default view | No | No | 5 uses on Business, unlimited on Business Plus and Enterprise |
| Export List or Table | No | 5 uses | Unlimited |
Required views cannot be made private. Because List view is required on every Space, Folder, Subfolder, and List, that required List stays visible to people who can open the location. An extra view can be private only where private views exist, which Help places on Business and above.
Protecting and unprotecting both count as uses. Help's example: protect a List, unprotect it to change a filter, protect it again. That is three uses. Business includes 10 of those uses. Guests can customize specific elements of a List that was shared with them, unless the view is protected. Guests cannot export List or Table views. Default views cannot be set from the mobile app.
To create a view you need Edit or Full edit permission on that List, Subfolder, Folder, or Space. Guests can use views on locations shared with them. They cannot create views at the Everything level, protect views, set default views, or make an existing view private.
The spreadsheet-style sibling is ClickUp Table view. Export limits apply to both. If the team lives in columns and formulas more than in status groups, start there instead of forcing List view to imitate a workbook.
A List setup that stays useful
Use one List per stream of work, not one List for the whole company. A freelancer's client delivery List is a clean example:
- Group by status, with the statuses you already use: To do, In progress, Waiting, Done.
- Show columns for assignee, due date, priority, and one tag, such as the client name if the List mixes two small accounts. Keep tags few. ClickUp tags covers the cap.
- Leave Me Mode off on the shared List. Each person can turn it on for themselves when they want only their rows.
- Add a second, personal List view only after you are on a plan that includes private views, if the filter is not something the client or the rest of the team should see.
- Filter before you scroll. If the location is near 5,000 tasks, a status filter or a due-date filter is the fix, not a faster laptop.
Show closed tasks only when you are auditing. The Customize menu can show them, show empty statuses, wrap the first line of text, show location breadcrumbs, and show parent names above subtasks. Leave most of those off on a daily List. Turn on task property icons (description, attachments, checklists, dependencies) when people keep opening tasks only to see whether a file is there.
The beginner setup is the right order if this List is your first screen: one Space, a few Lists, assignees, and due dates. Views come after the tasks exist.
When should you leave List view?
List view is the daily screen for "what is in this status, who has it, and when is it due." It is a weak picture of sequence. Dependencies and a bar chart belong on the Gantt view. A week of due dates belongs on Calendar view. A flow of cards belongs on Board view, which is the other view ClickUp adds by default.
Keep List view as the place you edit. Open another view when the question changes. The tasks stay the same.
