Short answer
ClickUp Favorites are a private list of the items you open most, including Lists, tasks, Docs, Dashboards, and views. Other people cannot see them. Help does not publish a plan cap. Pinning a view in the Views Bar, and pinning items to the top or bottom of the Workspace, are separate controls on every plan.
ClickUp Favorites are how you stop hunting. The Home Sidebar keeps a private list of the Lists, views, Docs, and tasks you actually open. Other people in the Workspace cannot see that list. Help does not publish a count limit and does not tie Favorites to a paid plan. The star, the top pin, and the bottom pin are three different slots, and pinning a view on the Views Bar is a fourth.
If the sidebar already feels long, start with the hierarchy in spaces, folders, and lists and the first week setup in how to use ClickUp. Favorites sit on top of that structure. They do not replace it. The rest of the product is on the ClickUp hub.
What can you add to ClickUp Favorites?
Help says the items you can favorite depend on your ClickUp version, then lists the current set:
| Item | Where it usually lives |
|---|---|
| Spaces, Folders, Subfolders, Lists | The hierarchy sidebar |
| Tasks | Any List you keep reopening |
| Channels and direct messages | Chat |
| Docs | Pages you maintain, including wikis |
| Dashboards | The reports you check on Monday |
| Whiteboards and Forms | The board or the intake link |
| Views, including All Tasks views | A saved layout, not a new copy of the tasks |
| Sprints, including the current sprint | The sprint folder |
| AI Skills | The skill you run repeatedly |
You can also send an item to a custom section from the same star menu. Custom sections are a way to group shortcuts yourself. They are still your shortcuts.
A favorited view points at the real view. Filters and columns stay on that view. The favorite is the door. Help lets you give that door an alias: open the view, right click its name, choose Favorite, enter the alias, and click Add. The alias is what you see in Favorites. The view's name in the Views Bar does not change, so the rest of the team still sees the shared label.
Docs are the item people forget to star. A weekly agenda, a client brief, or an SOP that lives three folders deep is a better favorite than another copy of the same List. Dashboards belong on the list when you open the same report more often than you open the tasks under it. The current sprint favorite is useful during the two weeks that sprint is active, and you can remove it when the sprint closes. Sprint setup itself is in ClickUp sprints.
How do you add, open, and remove a favorite?
From most places, click the star. The arrow beside the star opens the rest of the menu: add the item to a custom section, and, depending on the item, pin it to the top or the bottom.
From the Home Sidebar or the Spaces Sidebar:
- Right click the item.
- Hover Favorite.
- Select Favorites.
The item lands in the Favorites section of the Home Sidebar. Click it to open it. If the section is collapsed, expand it first. Hover a row and use the ellipsis, or right click, for that item's menu. Hover and use the plus icon when the favorite is a location where you can create something new, such as a task on a List.
To take something off the list, click the star again. From the sidebar, right click the item and choose Remove from Favorites. Removing the favorite does not delete the List, Doc, or task.
To park the whole Favorites section at the top of the Workspace, hover Favorites, open the ellipsis, and choose Pin items to Top. Confirm with the same command. Help says this removes those items from the Favorites section. They have moved, and they have not been duplicated. Unpin a single item by hovering it and clicking the unpin icon.
How do top pins, bottom pins, and pinned views differ?
People mix these up because each one uses the word pin. Help documents them as separate controls, and each of the pin articles says the control is on every plan.
| Control | What moves | Who it is for | Where it shows |
|---|---|---|---|
| Favorite (star) | The shortcut in your Favorites section | Only you. Others cannot see it | Home Sidebar |
| Pin to top | Spaces, Folders, Subfolders, Lists, tasks, Docs, Dashboards, Whiteboards, Forms | Every plan, all user roles | Top of the Workspace |
| Pin to bottom | Tasks and Docs | Every plan, all user roles | Bottom of the Workspace |
| Pin view | One view on a location | Every plan, including guests with full edit permissions | Views Bar |
Pin to top: open the item's ellipsis (or right click it in the Home Sidebar), hover Favorite, and select Top. Drag the pinned items to reorder them. They stay until you unpin from the upper left.
Pin to bottom: on a task or a Doc, open the ellipsis in the upper right, hover Favorite, and select Bottom. Reorder by dragging. Unpin from the lower left. Help limits this bottom bar to tasks and Docs, so a List uses the top pin or Favorites instead.
Pin view: open the view, right click its name in the Views Bar, and turn on Pin view. Help's reason is a shorter bar: pin what you use, and leave the rest unpinned so you can still drag those into a useful order. Default views, which open first for everyone at that location, start on Business, where Help lists 5 uses. Business Plus and Enterprise include unlimited default views. Private views also start on Business. The pin itself does not wait for Business.
Inbox is the other personal surface. Inbox holds what is waiting on you. Favorites hold where you go on purpose. A task you are chasing this week can be a bottom pin. A task you reference every project can be a favorite. When the chase ends, unpin it so the bottom bar stays short.
How should a small team use Favorites?
Keep the shared structure boring and the personal shortcuts specific. A Workspace with a clear Space for clients and a clear Space for internal work, as how to use ClickUp suggests, gives everyone the same map. Favorites are how each person marks the three doors they use.
A useful starter set:
| Person | Favorites worth keeping |
|---|---|
| Project lead | The active List, the client Doc, the Monday dashboard |
| Specialist | The List they execute from, plus the current sprint |
| Reviewer | The view filtered to their status, and the Doc where feedback is written |
That is enough. A favorite for every Folder recreates the sidebar you were trying to skip. Remove a favorite the week you stop opening it.
ClickUp will still feel larger than a single board. That is the trade. Trello is the easier tool if a handful of lists is the whole company. Favorites, pins, and a short Views Bar are how a ClickUp Workspace stays usable after the second Space. If the product already feels like too much setup, is ClickUp too complicated walks through a smaller first Workspace. The ClickUp review covers who that trade suits.
