Short answer
To switch to ClickUp, use ClickUp's built-in importers (available for tools including Trello, Asana, monday.com, Jira, Todoist, Wrike and Basecamp, plus CSV and Excel), map your old structure to Spaces, Folders and Lists, run one pilot project, then move the rest of the team.
Switching tools is less about data and more about habits. This plan keeps disruption low.
1. Decide what to move
Move active projects and templates. Archive finished work in your old tool or export it, rather than importing years of history.
2. Use ClickUp's importers
ClickUp offers import options for several tools, including Trello, Asana, monday.com, Jira, Todoist, Wrike and Basecamp, plus CSV and Excel for everything else. Check ClickUp's import help page for the current list and what each importer brings across.
3. Map your structure
| Old tool | ClickUp equivalent |
|---|---|
| Trello board | List (Board view) |
| Trello list (column) | Status |
| Asana project | List or Folder |
| Asana section | Status or custom field |
| monday.com board | List |
| monday.com column | Custom field |
4. Run a pilot
Pick one active project and one small group. Use it for a week. Fix statuses, fields and views based on real feedback before rolling out further.
5. Onboard the team
- Share a short Doc explaining where things live.
- Keep the setup simple. See how to use ClickUp.
- Set a date when the old tool becomes read-only.

A two-week migration timeline
Day 1: decide what to move, create your Spaces, and run the importer for one active project.
Days 2 to 5: a pilot group works only in ClickUp. Collect feedback on statuses, fields and views.
Days 6 to 8: adjust the setup, build templates from the pilot project, and write a one-page Doc explaining how your team uses ClickUp.
Days 9 to 10: import the remaining active projects and invite the whole team.
Days 11 to 14: set the old tool to read-only, answer questions, and remove workarounds.
What usually does not transfer perfectly
Imports bring across the work itself, but some things are worth checking manually:
- Automations and rules from your old tool need to be rebuilt in ClickUp.
- Custom fields may need remapping to the right field types.
- Comment history and attachments may be handled differently depending on the source tool.
Plan for a quick review of a few imported projects before moving everyone.
Getting buy-in from the team
Explain why you are switching in one sentence, for example "everything in one place instead of four tools". Show the pilot project, not a feature list. And keep the first setup simple so people feel the benefit in the first week.
