ClickUp Client Portal: Guests, Public Links, and Shared Lists

How to give clients a ClickUp view of their work with guests or a public link, and what should stay off that shared surface.

Short answer

A ClickUp client portal is a shared List or view, not a separate product. Invite the client as a guest when they should comment, or send a view-only public link when they should only look. Keep internal notes in a List you do not share.

A ClickUp client portal is the slice of the Workspace a client is allowed to see. ClickUp does not ship a separate portal app. You build the slice from a client Folder, a List with plain statuses, and either a guest invite or a public link. The seat math and permission levels are in ClickUp guest access. This page is the shape of the shared surface: what the client opens, what stays internal, and which share method matches the relationship.

Agencies usually want this so status meetings shrink. The Folder pattern for that work is in ClickUp for agencies. The ClickUp hub links guests, dashboards, and pricing.

What can a ClickUp client portal include?

Give the client one place that answers three questions: what is in progress, what is waiting on them, and what is done. A single List with those statuses is easier to trust than a tour of your whole Space.

A practical split:

LocationWho sees itWhat lives there
Client FolderYour team, and the guest if you invite them to the FolderThat client's projects only
Client-facing ListThe client, via guest access or a shared viewTasks worded for the client, with dates and owners
Internal ListYour teamPricing notes, drafts, and critique
Doc for the briefWhoever you explicitly share it withScope, links, decisions

Do not put two clients in one List. A filter is not a privacy boundary. ClickUp Help says private tasks inside a publicly shared item are not visible, which helps, and it is still safer to separate clients by Folder before you share anything.

Statuses on the client List should be words the client understands. "Waiting on you" is clearer than an internal stage name. How to set List statuses is in ClickUp custom statuses.

How to manage multiple clients covers the freelancer version of this split. The same rule applies: one client, one boundary.

These are different doors. Pick one per client, or use both on purpose. Do not assume they grant the same rights.

ClickUp Help says public sharing is on all plans. Anyone with the link can open the item in a browser. Third-party cookies are required. Applied filters are included in a publicly shared view, so build the filter before you copy the link.

What you can share publicly depends on the item and the plan:

  • A view-only task can be shared on every plan.
  • Views of a Folder, Subfolder, or List can be shared on every plan.
  • Docs, wikis, pages, templates, and Whiteboards can be shared on every plan.
  • Spaces themselves cannot be publicly shared.
  • Sharing all Spaces is listed for Business and above.
  • Form views can be publicly shared from a Space, Folder, Subfolder, or List on every plan.
  • Other views publicly shared from the Everything level are listed for Business and above.

Turn the link on from Sharing and Permissions, then enable Share link with anyone. Tasks and Docs show a banner when they are public. A public view shows a globe badge on the Views Bar. Enterprise can expire a link (7, 30, 90 days, or a custom date) and can list every public item for owners and admins. Those advanced controls are not on lower plans. The link does not expire by default.

Free Forever guests are unlimited, and they receive full create and edit access on whatever you share. You cannot set them to view only or comment only. That is a poor portal. Permission-controlled guests start on Unlimited: 5 seats for one paid user, plus 2 for each additional paid user, and unlimited view-only guests, according to ClickUp's pricing page. If you run out of permission-controlled seats, that person is billed like a member. People who use your organization's email domain are members on paid plans, not guests.

A public link is view only. If the client must comment, invite them as a guest on a paid plan and do not rely on the link.

How do you keep internal work off the portal?

Share the smallest location that still answers the client's question.

  1. Put client-visible tasks on one List. Write titles a client can read without a briefing.
  2. Keep drafts, margins, and internal comments on a List or Doc you do not share.
  3. If you use a public link, do not share a private List. Help blocks that, and trying to work around it by making the whole Folder public exposes more than the List.
  4. If you invite a guest, invite them to the client Folder or the client List, not to the Space that holds every client.
  5. Review the share when the project ends. Enterprise owners and admins can stop sharing from Security and Permissions. On other plans, turn the public toggle off on the item itself.

Guests cannot access Chat on a hierarchy location the way members can. Help says hierarchy locations and their Chats share permissions for members, and guests cannot access Chat. Do not promise a client a chat room inside the portal unless you have confirmed the current guest rules for your plan.

Dashboards can sit beside the List when the client wants a summary instead of every task. Guests cannot create dashboards. They see a card only when they can access the tasks in it. Free Forever includes 60 dashboard uses, Unlimited includes 100, and unlimited dashboard uses start on Business. Details are in ClickUp dashboards. A shared List is enough for most clients. Add a dashboard when the List is too long to scan.

What should a client update include?

A portal fails when it is a dump of every internal status change. Send the client to the same view each week, and make the List match what you would have said on a call.

A short update, posted as a comment on a milestone task or as a Doc the guest can open, needs four lines:

  • What moved this week.
  • What is waiting on the client, with a due date.
  • What is next, with an owner on your side.
  • What you are not doing, if scope is drifting.

Dates on those tasks are what make the shared Calendar or List honest. A task with no date looks unfinished even when it is simply unscheduled. For a single event or launch, the date chain in ClickUp for event planning is the same idea with a harder deadline.

Do not attach the only copy of a contract or a large file to the task if you are on Free Forever. Storage there is 60MB, and attachments are what count. Link the file from your drive. Unlimited includes unlimited storage. Prices were checked in October 2026. The plan comparison is in ClickUp Free vs Unlimited and ClickUp pricing.

When is a dedicated client tool a better fit?

ClickUp is a reasonable portal when the client should see tasks you are already tracking. It is a weak fit when the client needs a branded login page, invoicing, or a help desk. Use the product that already does that job, and link it from the task.

It is also a weak fit on Free Forever if the client must not edit your tasks. Full guest edit access is the free-plan rule. Pay for Unlimited before you invite a client who should only comment or view.

Set the boundary first, then invite. One Folder per client, one List they can understand, and either a guest seat or a view-only link. Turn the link off when the work is done.

Frequently asked questions

Does ClickUp have a client portal?

ClickUp does not sell a separate portal product. You share a List view, a task, or a Doc, either by inviting the client as a guest or by turning on a view-only public link.

Can a client see ClickUp without an account?

Yes, if you share a public link. ClickUp Help says anyone with the link can view the item in a browser and does not need a ClickUp account. Public items are view only.

Can clients comment in a ClickUp portal?

On a public link, no. Publicly shared items are view only. Comment or view permissions require a guest seat on a paid plan. Free Forever guests get full edit access on what you share.

Can you publicly share a private ClickUp List?

No. ClickUp Help says private Lists, Subfolders, Folders, and Spaces cannot be shared publicly. Make the client-facing List a location you are willing to share, and keep internal work private.

Which plan do agencies need for client sharing?

Unlimited, at $7 per user/month billed annually, is the usual start because it adds permission-controlled guests. Public links exist on every plan, with tighter rules on what you can share from the Everything level. Prices were checked in October 2026.
