ClickUp employee onboarding is a repeatable set of tasks with owners and dates, plus a Doc the new hire can read without hunting through email. ClickUp publishes an Employee Onboarding Folder template for that job. A smaller company can ignore the large template and save a short List after the first hire goes well. Both are valid. The mistake is a different checklist in a different place for every manager.

What should ClickUp employee onboarding include?

Keep the hierarchy small. ClickUp's pricing page lists 5 Spaces on Free Forever. A Space per new hire will hit that cap quickly. Use one People or HR Space, then a Folder for onboarding, then a List per hire or the official Folder template applied once per person.

A useful setup has four parts:

  • Tasks for paperwork, access, equipment, introductions, and training, each with an assignee and a due date.
  • A Doc for the handbook pages, tool logins that are safe to write down, and the first-week schedule. Link the Doc from the List.
  • Statuses the whole Space shares, so a board of every new hire is readable. The template page uses To Do, In Progress, and Complete.
  • A recurring check-in for the manager, so the 30-day conversation is a task and not a memory.

What is in ClickUp's employee onboarding template?

ClickUp's Employee Onboarding template page describes a ready-to-use Folder. You add it to a Space or another location in the Workspace, then invite the people who should work in it. The page says you can invite members or guests.

The same page suggests a Doc for the onboarding goal, tasks for the activities, recurring tasks so steps are not missed, Gantt view for the timeline, and Dashboards to watch progress. Those are suggestions on the template page, and several of them have plan limits. Gantt view is 60 uses on Free Forever and unlimited on the Unlimited plan and above, as ClickUp Gantt chart records from Help. Dashboards are a trial on Free Forever and Unlimited. Do not build the program around a dashboard chart on day one if you are still on the free plan. A List and a Calendar view are enough to see what is late.

Custom fields are how the New Hires table holds Department and similar facts. Free Forever includes 60 custom field uses, counted when you set a value on a task. Unlimited and above include unlimited uses. Required fields start on Business. The field types and the use rule are in ClickUp custom fields.

Annual Salary is one of the example fields on the template page. Treat that as a warning, not as a field to copy onto a view the whole company can open. On Free Forever, guests have full create and edit permissions that cannot be changed, and hiding a custom field from guests is a paid-plan control. Keep pay, government ID numbers, and medical notes out of task descriptions and out of fields on a shared List. Store them in the HR system you already use for that data.

How do you set up a shorter onboarding List?

If the official Folder is more machinery than you have hires, build one List and save it as your own template after the first run. Templates are on every plan.

  1. In the HR Space, create a Folder called Onboarding and a List for the role or for the person.
  2. Use the Space statuses, or the template's To Do, In Progress, and Complete if you applied that Folder.
  3. Add the tasks from your checklist. Assign HR, the manager, or IT. Set due dates relative to the start date.
  4. Add a Doc for the reading, and link it from the first task. Pricing lists 1 wiki on Free Forever, Unlimited, and Business. Use that single wiki for the current handbook. Use an ordinary Doc for notes that belong to one hire. See ClickUp Docs.
  5. Make the manager's check-in a recurring task. It needs a due date. Choose a weekly schedule and create a new task each time, so each meeting keeps its own comments.
  6. Add a Calendar view on the Folder when you want the dates in one grid. Calendar view is on every plan.
  7. Save the List or Folder as a template only after you have deleted the tasks that were specific to that person.

Apply the template when the offer is accepted, not on the first morning. The tasks that order equipment and create accounts are already late if they start on day one.

ClickUp's pricing FAQ is specific about guests. Guests are meant for people outside the organization. If you add someone from inside the organization, a paid Workspace bills them as a paid user. On Free Forever, members and guests are not charged, and guests cannot be limited to read-only. A new employee who will live in the Workspace should be a member. A contractor who only completes three tasks can be a guest, with the paid-plan seat limits in mind: the pricing FAQ says Unlimited starts with 5 guest seats for one paid user and 2 more per additional paid user, and Business starts with 10 and then 5 per additional paid user.

One Folder template, applied per hire, beats a fresh List typed from memory. Save the template only after the first hire's one-off notes are gone.

Free Forever is the right start when you have a handful of hires and the checklist is the product. Move to Unlimited when custom fields, storage, or time tracking stop being a trial. Move to Business when an HR dashboard is something you open every week, because viewing a dashboard spends the free and Unlimited use pools.
