Short answer

ClickUp Table view shows every task as a row and every field as a column, on every plan. You can edit cells, pin columns, and copy data out. Exporting the view to a file is unavailable on Free Forever and limited to 5 uses on Unlimited.

ClickUp Table view is the spreadsheet layout for tasks you already track. Every task is a row with a fixed height. Every field is a column. You choose which columns appear, click a cell to edit it, and copy a range into Excel or Google Sheets. The view itself is on every plan. Exporting that grid to a file is a separate limit, and it is not on Free Forever.

If the question is whether to leave a workbook at all, start with spreadsheet vs project management software. Table view is the bridge for people who still think in rows. The ClickUp hub links the other views once the grid is in place.

What is ClickUp Table view?

ClickUp Help calls Table view a familiar spreadsheet-style view. You use it to review and edit many tasks without opening each one. You also choose the information on screen. Tags are the example Help gives: they are always shown in List view, and in Table view you can show or hide them.

Intro to views adds a second difference. In Table view, every row is the same height, every field is a column, and by default there is no separation by List or status. Help says that makes it useful when you need to look at a lot of information at once.

The view is still tasks. A row has a status, an assignee, and a due date because those are task fields, not because you typed them into a blank grid. Custom fields become columns too. How those fields work, including the 60-use limit on Free Forever, is in ClickUp custom fields.

You can add Table view anywhere you add other views: a List, a Folder, a Space, or All Tasks (the level ClickUp used to call Everything). ClickUp Everything view explains that rollup. Form view is the one view you cannot add at All Tasks. Table view is allowed there.

How do you create a Table view?

ClickUp Help's create steps are short:

  1. Click + Add in the Views Bar to open the Views modal.
  2. Optionally check Private view if you do not want anyone else to open it, or Pin view if you want it to stay in the Views Bar.
  3. Select Table.
  4. Name the view, then use the Customize menu on the right.

Private views have a plan gate that the create article does not repeat in the steps. ClickUp's views limits table lists Use Private views as unavailable on Free Forever and Unlimited, and available on Business and above. Required views cannot be made private. If the Private checkbox is missing, that plan table is the reason to check first.

To add columns:

  1. In the upper-right corner above the task table, click the plus icon or Add.
  2. Select a Custom Field type to create a new field and add it as a column, or open the Add existing tab to show or hide fields that already exist at that level of the hierarchy.

You can pin a column so it stays visible while you scroll. Click the column header, then Pin column.

Row height is a layout option. Click Customize, then Layout options, then Row height, and pick a height. If a task has a description, a text icon sits to the right of the title. Hover it to read the description without opening the task.

How do you edit cells and subtasks?

Table view is in spreadsheet mode by default. Click any cell to edit it. To turn that off, open Customize, then Layout options, then Click to edit cells.

Help lists four ways to update many tasks at once:

  • Arrow keys to move between cells.
  • Copy and paste keyboard shortcuts.
  • Click and drag the lower-right corner of a cell to copy values down. This overwrites values already set on those tasks.
  • The Bulk Action Toolbar.

To copy data into Excel or Google Sheets, select one or more cells and use Cmd + C on Mac or Ctrl + C on Windows, then paste. A right-click on the selection adds more options: Cut, Copy, Copy with headers, and Copy with group headers. Copy with headers includes the column heading. Copy with group headers includes the column heading and the group-by heading.

Subtasks are a layout choice, and they behave differently here than people expect from a nested list. If you show them, they appear independent of their parent task. Grouping, sorting, and filters apply to the subtasks as well. Turn them on from Customize, Layout options, then subtasks, and use the Subtasks toggle.

The views control bar still applies: group, filter, show closed tasks, filter by assignee, Me Mode, and search. Help says search in List, Board, and Table views looks at the task title, text custom fields, and task IDs.

Column calculation is the feature people assume is free because the grid looks like a sheet. ClickUp's views limits table lists Calculate columns as unavailable on Free Forever and Unlimited, and available on Business and above. The role table says guests, members, admins, and the owner can calculate columns when the plan allows it.

Keep formulas, budgets, and one-off tables in the spreadsheet. Put owners, statuses, and due dates in ClickUp. How to use ClickUp is the hierarchy those rows belong to.

Can you export or share a Table view?

Export is not the same as copy and paste. Copy and paste is a selection of cells. Export is a file of the view.

ClickUp's views limits table lists export of List and Table views like this:

PlanExport List and Table views
Free ForeverNo
Unlimited5 uses
Business, Business Plus, EnterpriseUnlimited

A separate import and export article says Free Forever and Unlimited can only export five List, Table, or Form views. The views table is the more specific rule for List and Table. Confirm the count in your Workspace before a weekly report depends on an export. Prices for the plans were checked in October 2026: Unlimited is $7 per user/month billed annually ($10 monthly), and Business is $12 per user/month billed annually ($19 monthly). The ladder is in ClickUp pricing.

The export article's steps, once the plan allows it:

  1. Open the List or Table view.
  2. In the upper-right, click Customize, then Export.
  3. Choose what to export: Visible columns, Task names only, or All columns. Visible columns also includes closed tasks. Collapsed groups are not included.
  4. Choose the file format.

To include subtasks, turn on Showing Subtasks in Table view before you export. If the Time in Status ClickApp is on, Visible columns includes that data only when the column is on the view. All columns includes it automatically. You can export current status only, or total time by status as separate columns.

Guests cannot export List and Table views. Members, admins, and the owner can, and the export permissions article also requires Edit or higher on that location plus the Export Views permission for the role.

Sharing is separate from export. Help says you can publicly share a Table view with someone outside the Workspace. Private view sharing with people inside the Workspace is fully available during early access, and Help says future limits may apply. There are two paths for a private view: share it with people in the Workspace, or share a link.

When should you use Table view?

Use Table view when the question is "show me these fields for these tasks." A content pipeline with channel, owner, and publish date fits. A client list with a fee field and a status fits. A backlog you need to scan without opening tasks fits.

Use List view when hierarchy and the default task layout matter more than a dense grid. Use Board view when the work moves across statuses and people think in columns of cards. Use Calendar view when the date is the point. Use a Dashboard when you need a count or a chart rather than the rows themselves. Dashboard cards have their own plan gates, covered in ClickUp dashboards.

Stay in a spreadsheet when the file is a model: formulas, scenarios, a budget that is not a task. ClickUp's Table view does not replace that workbook. It replaces the shared tracker where people type status into cells and then paste the sheet into chat.

Trello is the lighter board if the team only needs columns of cards. Notion is the stronger home if the database and the writing are the center of the work. ClickUp is the fit when the grid, the docs, and the dates should be the same tasks. The trade-off is setup. A Table view on a messy hierarchy is still a messy hierarchy.
