Notion's free plan suits an individual. You can write pages, build databases, and use the views Notion lists for those databases: table, board, calendar, timeline and gallery. You also get templates, comments and real-time collaboration features, within the free-plan caps.

The caps in our data are specific:

Notion is a document-first workspace. Pages hold rich text, embeds and databases. A database can look like a board, which is enough for a personal content calendar or a simple tracker. Stay on free if all of these are true:

Writers, students, and solo operators often fit that description. A personal system of meeting notes, a task database, and a few templates does not require Plus. If the workspace starts to feel messy, the fix is usually a simpler page structure, not a higher plan.

When should a team pay for Notion or switch?

Pay for Notion when the workspace is still about documents and the block trial is the thing in your way. Plus at $10 per seat/month is the straightforward team wiki price. Choose Business at $20 per seat/month when you specifically want the AI agent and meeting notes that our data attaches to that plan.

Switch, or add a second tool, when the work is a project rather than a page:

  • Tasks depend on other tasks and the sequence matters.
  • You need a Gantt or timeline with real dependency tracking as the main view. Notion has a timeline database view, which is useful, and it is still lighter than a dedicated planning tool.
  • You need workload planning or native time tracking. Notion's own limits call out less built-in support for both.
  • Several departments need reporting across projects, not a shared wiki.

Notion still wins the free tier when the job is writing. A 60MB task workspace does not replace a clean personal wiki, and a Trello board does not replace a database of notes. Pick the free plan that matches the object you create every day: a page, a card, or a task.

  1. Open a workspace alone and put one real notebook in it: meeting notes, a content database, or a client wiki draft.
