Short answer
ClickUp can run as a lightweight CRM. Help recommends one Space with Lists for leads, contacts, accounts, and deals, and each record is a task. It fits a small team that already works in ClickUp. A dedicated CRM is a better fit when sales needs its own system.
ClickUp can act as a CRM, and ClickUp documents the setup in its Help Center. The structure is a Space (or a Folder inside a Space you already have), four Lists, and a task for every lead, contact, account, and deal. That is a real pipeline. It is also still ClickUp: statuses, custom fields, views, and automations, not a separate sales database.
Use it when the people who sell also deliver the work, which is common for agencies, consultants, and small businesses. If sales already runs in a dedicated CRM and the rest of the company never opens it, leave the pipeline there. The ClickUp hub links the fields, forms, and dashboards this setup depends on.
How does ClickUp recommend you organize a CRM?
Help's starting point is one Space for CRM. If CRM should sit next to existing work, use a Folder in that Space instead of a second Space. Inside it, Help recommends four Lists. Each row in the table is a task.
| List | What it holds | How Help describes it |
|---|---|---|
| Leads | People or companies not yet in a deal | Qualify them, pick who belongs in a drip, and move qualified leads into the deal cycle |
| Contacts | People during and after the deal | Champion, contact type, and the deals that person is on |
| Accounts | The customer record | The information you use to understand the account and keep the relationship |
| Deals | The opportunity after qualification | Tasks and subtasks for the deal cycle, plus the numbers you use to forecast |
Help says a qualified lead progresses into a deal. The Quick Start: Sales & CRM template creates this Hierarchy for you. Building it by hand is the same idea: do not invent a fifth List until one of these four is actually full.
Relationships are how the Lists stay connected. On List view, Help says to add Relationship columns so contacts link to accounts and accounts link to deals. The CRM automations Help recommends use those Relationships to pre-fill information, so the link is not only a manual note.
A task title should be the name a human would search: the company on an account, the person on a contact, the opportunity name on a deal. Put the dollar amount in a Money field, not in the title.
Which statuses should a ClickUp CRM use?
Help publishes a starter set. You can rename them, but copying the set first keeps reporting consistent. Status setup in general is in ClickUp custom statuses.
| List | Statuses Help recommends |
|---|---|
| Leads | New lead, Attempt to engage, Engaged, Qualified, Qualified - archive, Unqualified - follow up, Unqualified - archived |
| Accounts | Prospect, Active, At risk, Lost deal, Former client, Closed |
| Deals | Open, Need approval, Blocked, At risk, Scheduled, On track, On hold, Closed |
Lead statuses answer "are we still talking?" Account statuses answer "what kind of customer is this?" Deal statuses answer "where is this opportunity stuck?" Mixing those three questions into one status list is how a CRM board becomes unreadable.
Qualified - archive and Unqualified - archived exist so old leads leave the active board without being deleted. Closed on a deal is not the same word as Closed on an account. Keep them on their own Lists.
Which custom fields belong on a ClickUp CRM?
ClickUp custom fields are how a task holds CRM data. Help's CRM article names the fields below. You do not need every one on day one. Deal amount, lead source, email, and a relationship to the account cover the first pipeline.
| Field type | Examples Help lists | What you record |
|---|---|---|
| Dropdown | Lead source, account tier, industry, company size, deal cycle stage, customer segment, billing cycle, type of service | One choice from a list you control |
| Money | Deal amount, contract amount | A currency amount |
| Number | Discount or probability | A percentage |
| Client email | The address Email in ClickUp can suggest when you write from the task | |
| Phone | Lead or contact phone | A phone number |
| Text | Job title, company name, contact name | A single line |
| People | Project manager on the account | Someone who is not the primary assignee |
| Checkbox | Drip campaign, champion, include in board report | True or false, including checkboxes Help ties to automations |
| Location | Account address | An address shown with Google Maps |
The Email field matters later. When you compose from the task, ClickUp suggests the address stored there. The People field is the clean way to name a project manager on an account without making that person the owner of every sales task.
Free Forever includes custom fields with a usage cap (60 uses in ClickUp's ClickApps table). Unlimited and above list unlimited uses. Confirm the current cap before you add a field to every List on the free plan.
Which views and dashboards should you add?
Help's views article is specific. Build these before you invent a new board.
List views Help names:
- Leads: All leads, New leads, My leads, Unqualified follow-up
- Deals: All deals, New deals, My deals, Closed - won
- Accounts: All accounts, My accounts, Customers, Prospects
- Contacts: All contacts, New contacts
Board view groups tasks by status. Help suggests two boards on both the leads List and the deals List: Lead stages, and My lead stages. Drag a card to move it. Early stages sit on the left, closed-won work on the right.
Form view is the intake door. Help lists sales forms for lead details, customer requests, support tickets, and deal forms that create a pre-filled deal task. How forms create tasks is in ClickUp Forms. Free Forever limits how many forms you can use.
Table view is the spreadsheet pass: columns, bulk edit, and export. A whiteboard can sketch the path from qualification to a closed deal, which is planning, not the system of record. Whiteboards are covered in ClickUp whiteboards.
After the Lists have data, Help's dashboard article recommends four cards:
| Card | What Help says to show |
|---|---|
| Pie chart | Accounts per representative |
| Battery chart | Account and opportunity health by task status |
| Timesheet | Billable hours related to clients |
| Calculation | SLAs, accounts closed, accounts won, and revenue per month |
You can keep one dashboard for a single account and one for every account. Card details and plan limits are in ClickUp dashboards.
ClickApps Help calls essential for this template are Automations, Custom Fields, and Email. Email from the lead task is documented on the Leads List itself. Plan limits for that ClickApp are in ClickUp email.
When is ClickUp the wrong CRM?
ClickUp's own help treats CRM as a way to arrange the Workspace. Every record is a task. That is a strength when a won deal should become delivery work in the same place. It is a weak fit when the sales team wants a product built only for pipeline, sequences, and a large outbound group.
A few limits are explicit in Help, not a matter of taste:
- Guests cannot use Email in ClickUp, so a client or a contractor cannot send from the deal task.
- ClickUp no longer uses a tracking pixel, so you cannot see from ClickUp whether a sent email was opened.
- If the recipient changes the subject line, the reply does not come back onto the task.
- Automations and forms have plan limits. Business, at $12 per user/month billed annually ($19 monthly), is the tier our pricing notes for teams that need more reporting and automation. Unlimited is $7 per user/month billed annually ($10 monthly). Prices were checked in October 2026. The table is in ClickUp pricing.
Keep a dedicated CRM if that team will not live in ClickUp. Use ClickUp for the project that starts when the deal is won, and connect the two if you need to. Integration options are surveyed in ClickUp integrations.
For a small team that already tracks clients in ClickUp, the four Lists above are enough to stop keeping the pipeline in a side spreadsheet. The weekly operating rhythm, follow-ups, and the handoff into delivery are in ClickUp for sales teams.

You can start on Free Forever. Email, forms, and automations have plan limits. Unlimited is $7 per user/month billed annually, and Business is $12. Prices were checked in October 2026.
