Short answer

A sales team can run ClickUp as the pipeline: a leads board, a deals board, a dated follow-up on each open task, and email sent from the task. Move a won deal to Closed and point the account at the delivery work. A dedicated CRM still fits a sales-only org.

A small sales team can run the pipeline in ClickUp without a second product. ClickUp Help already describes the pieces: a leads List, a deals List, Board views grouped by status, email sent from the task, and dashboard cards for accounts, health, and revenue. The structure of those Lists is in ClickUp as a CRM. This page is the week: what you look at, when you follow up, and how a won deal leaves sales.

It fits teams that sell and then do the work, such as agencies and consultants. A large outbound group that lives in a dedicated CRM should stay there. The ClickUp hub links pricing, dashboards, and email if you want the plan limits beside the workflow.

What does the pipeline look like on Monday?

Open two boards. Help recommends the same pair on both the leads List and the deals List: Lead stages, and My lead stages. Cards are tasks. Columns are statuses. Drag a card to the next column.

Use the lead statuses Help lists, in this order:

StageStatus Help namesWhat the owner does
Just arrivedNew leadConfirm the source and the email field
First touchAttempt to engageSend the first email from the task, or book the next try
In conversationEngagedKeep the next step dated
FitQualifiedCreate or link the deal
Not nowUnqualified - follow upDate a later check
DoneQualified - archive, or Unqualified - archivedOff the active board, not deleted

Deal statuses are a second board, not more columns on the lead board. Help's set is Open, Need approval, Blocked, At risk, Scheduled, On track, On hold, and Closed. "My deals" and "New deals" are List views Help also names, for the days you want a list instead of a board.

Filter to yourself with the My lead stages board or the My deals List. A shared board is for the team meeting. A personal view is for the calls you actually have today.

New leads should enter through a form when someone else is sending them to you. Help lists sales forms for lead information and deal forms that create a pre-filled deal task. Form behavior and the free-plan cap are in ClickUp Forms.

How do follow-ups stay visible?

A stage without a date is a wish. ClickUp Calendar view shows a task that has a start date, a due date, or an active Date custom field. Set the next follow-up as the due date on the lead or the deal. Day and week view can place that task at a time. The view itself is documented in ClickUp Calendar view.

Three fields from Help's CRM article make the follow-up specific:

  • Email, so the address is on the record.
  • Phone, so the call has a number.
  • Lead source, a dropdown, so you can see which channel the open leads came from.

Send the message from the task once the Email ClickApp is on. Replies show in the task activity as well as in your inbox. That is the point for a sales team: the thread sits on the opportunity, not in a personal mailbox nobody else can see. Setup, providers, and plan caps are in ClickUp email.

Help also recommends a Drip campaign checkbox, used with automations to send a drip email. Turn that on only after one manual follow-up path works. ClickUp's CRM section says automations reduce manual updates in the CRM Space or Folder, and that the recommended automations use Relationships to pre-fill information. The general trigger-and-action model is in ClickUp automations. Do not stack five automations on the first day.

A repeating check, such as a quarterly account review, can be a recurring task. How recurrence behaves, including what the free plan shows on the calendar, is in ClickUp recurring tasks.

If a deal has no next date, it is not in the pipeline. It is a note. Put a due date on it or archive it.

What should you not expect from sales email?

Email in ClickUp is useful, and Help is plain about the gaps.

ClickUp no longer uses a tracking pixel, so the task will not tell you the email was opened. Judge the follow-up by the reply, or by the date you set, not by an open count.

If the recipient changes the subject line, you will not get that reply inside ClickUp. Keep the subject stable or watch the mailbox.

Guests cannot use the Email ClickApp. A freelance seller who is only a guest cannot send from the deal. Members can.

Scheduling a send is on Unlimited and above. Signatures and email templates are on Business and above. Free Forever includes one email account and 100 uses. The full table is on the email guide.

For a message that is already in Gmail, the Chrome extension can attach that mail to a task. That is capture, not the same as sending from ClickUp. See ClickUp Chrome extension.

How do you hand off a won deal?

Help's deal list includes Closed. Help's account list includes Active. When the deal is won, set the deal to Closed and the account to Active. Then create the delivery work where the project actually lives: a List in the client Space, not another subtask buried on the deal.

The People custom field is the documented way to add a project manager to the account without making that person the primary assignee of the sales task. Name them there so delivery can see who owns the account.

Relationship columns should already link the contact, the account, and the deal. If they do, the new project task can point at the same account instead of copying the company name into a comment.

A handoff checklist on the deal keeps the step honest:

  1. Deal status is Closed.
  2. Deal amount and contract amount are filled (both are Money fields Help recommends).
  3. Account status is Active.
  4. The project manager is on the People field.
  5. A task or List exists for delivery, with a start date.
  6. The sales owner is no longer the only person who knows what was promised. Put the scope in a Doc or in the delivery task description. Docs are covered in ClickUp Docs.

Help does not describe a single button that creates the project for you. Treat the handoff as a status change plus a new task until you have tested one automation that does the same thing.

What belongs on the sales dashboard?

Help's CRM dashboard article names four cards. They match questions a sales meeting can actually answer.

QuestionCard Help recommends
Who owns how many accounts?Pie chart of accounts per representative
Which accounts or deals look unhealthy?Battery chart by task status
How much client time did we spend?Timesheet card for billable hours
What closed, what was won, what revenue landed?Calculation card for SLAs, accounts closed, accounts won, and revenue per month

Build one dashboard for all accounts and a second only if one account is large enough to need its own. Export and filters are covered in ClickUp dashboards. A dashboard does not fix missing amounts. If Deal amount is empty, the revenue card is empty.

Which plan, and who should skip ClickUp?

You can hold Lists, statuses, and boards on Free Forever. Move up when the limits around the pipeline are the problem, not the board itself.

Skip ClickUp as the sales system when the team does not want tasks, views, and fields. A dedicated CRM is the right home for that group. ClickUp is the right home when the same Workspace should show the lead, the proposal, and the project that follows. Agencies already using client Folders can keep selling in this pipeline and delivering in the client Space, which is the setup in ClickUp for agencies.

Frequently asked questions

Can a sales team use ClickUp as a pipeline?

Yes. ClickUp Help recommends Board views on the leads and deals Lists, with tasks grouped by status. Drag a card to move a lead or a deal to the next stage.

How do you follow up in ClickUp?

Put a due date on the lead or deal task so it shows on Calendar view. Email in ClickUp sends from that same task, and replies land in the task activity.

Does ClickUp show if a sales email was opened?

No. ClickUp Help says it no longer uses a tracking pixel to show whether an email sent from ClickUp was seen.

What happens when a deal is won?

Help includes a Closed status on deals and an Active status on accounts. Set those, then create the delivery work in your project Space. A People field can name the project manager without making them the deal assignee.

Which plan do sales teams need?

Free Forever can hold the pipeline. Email scheduling starts on Unlimited ($7 per user/month billed annually). Signatures, email templates, and a second included email account start on Business ($12). Prices were checked in October 2026.
