ClickUp Design Workflow: Requests, Reviews, and Figma

How design teams take requests in ClickUp, review attached files with Proofing, and preview Figma links. ClickUp is not the design canvas.

Short answer

A ClickUp design workflow is a request task, three review statuses ClickUp recommends, and Proofing comments on an attached image, video, or PDF. Figma stays the design file. A personal Figma connection previews links in the task. Guests cannot use that connection.

ClickUp for design teams is a tracker for the request, a status that means "please review," and comments that point at the pixels. ClickUp can hold that loop. It cannot replace the tool you design in. Figma stays the canvas. ClickUp holds the task, the review file, and the Figma link next to the status.

ClickUp's own article on design reviews is the workflow below. Intake is a ClickUp Form. Status names sit on top of custom statuses. The ClickUp hub links pricing and guest access, which is the part that decides whether a client can comment without becoming a member.

Who is ClickUp for design teams?

Use ClickUp for design teams when requests arrive by chat or email and the review happens in a thread nobody can find later. A freelancer with one client, an in-house designer with a marketing partner, and a small studio with a shared review status all fit.

Skip the setup if you ship one file a month and the review is a five-minute call. A board with three columns is enough until requests start getting lost. Asana is the more polished option in our set for teams that want a clean status path and will not use a Figma panel inside the task tool. ClickUp fits when the same Workspace also holds the brief, the form, and the rest of the company's work.

Prices checked October 2026. Free Forever is $0, with unlimited members, 60MB of storage, and limits on Spaces, forms, and whiteboards. Unlimited is $7 per user/month billed annually ($10 monthly). Business is $12 billed annually ($19 monthly). Enterprise is custom. Design files meet the free storage cap quickly. That limit matters more than the review statuses, which you can create on the free plan.

How does a design request become a task?

One request should become one task. A Form does that: each submission creates a task in the List you chose. ClickUp Help describes a project intake template, or a form you build. Ask for the requester, the due date, and a short description of what "done" looks like. A Dropdown for request type is worth adding if you will filter on it. Custom fields on Free Forever stop accepting new values after 60 uses, so one field is enough until you are on Unlimited.

Form uploads are capped at 25 MB per file. A full design source will not fit. Ask for a link to the brief, and attach the review export to the task later. Conditional questions on a form need Business Plus or Enterprise. A short form does not need them.

Put the statuses on the Space so every design List inherits the same names. Different status names on every List make a board across Folders unreadable.

How do ClickUp design reviews work?

ClickUp's design review article recommends three custom statuses:

StatusWho moves itWhat happens
Design in progressThe designer, when work startsThe file is being made
Design reviewThe designer, when it is readyThe approver marks up the attachment
Design approvedThe approver, when nothing is leftThe review loop stops

The loop ClickUp describes is short. Work starts in Design in progress. The designer moves it to Design review. The approver leaves Proofing comments, then moves it back to Design in progress. That repeats until the approver moves it to Design approved. The article also says you can create an Automation that tags the approver when the status is updated. ClickUp automations are the trigger and action model. Build that only after people actually use the status. An automation on a status nobody sets is noise.

Proofing is how the comment sticks to the file. Help says it is for design mockups, markups on contracts, video feedback, and creative review. Supported images are PNG, GIF, JPEG, and WEBP. Videos are MP4, WEBM, and Ogg. PDFs work too. You cannot edit the PDF in ClickUp. You comment on it.

The steps are: open the attachment from the task, click Add comment, click the spot on the file, and assign the comment or leave it as Anyone. Comments show in the task activity. On a video, the comment stores a timestamp and appears on the playback bar. Assigned comments are listed under Action Items. You can reply, resolve, and show resolved comments. Proofing comments assigned to you also show in Home.

Two limits decide whether this works for clients:

  • The file must be attached to the task. Proofing is not available for cloud storage attachments. A Google Drive link is not a review surface.
  • Guests can use Proofing. The design review article says guests with comment permissions and above can use it. On Free Forever, guests get full create and edit access on whatever you share. Comment-only or view-only guest permissions start on paid plans. Read ClickUp guest access before you invite a client. ClickUp client portal covers sharing a List without sharing the Workspace.

Proofing includes 100 uses on Free Forever and on Unlimited. Business, Business Plus, and Enterprise include unlimited uses. Unlimited is not the plan that removes the Proofing cap. It is the plan that adds permission-controlled guests and, in our tool data, native time tracking. Business is the plan that removes the 100-use Proofing cap.

Export a review file and attach it. Keep the working Figma file in Figma. Proofing cannot mark up a cloud link, and a client guest cannot open your Figma connection.

How does the Figma integration fit?

The Figma integration is on all plans. It is a personal connection: your Figma account linked to your ClickUp user, per Workspace. Help says the data in your Figma account is not available to anyone else through ClickUp. Guests and limited members cannot use the integration.

After you connect, pasting a Figma link gives you a preview. Mid-sentence, it is an inline preview you can hover. On its own line, you can show it inline, as a live preview, or as a plain URL. Previews work in task descriptions, comments, Docs, and Chat. Help says these URL types generate a dynamic preview: files, projects, prototypes, frames, and FigJams. The preview shows a thumbnail, the file name, the file type, when it was last modified, and the file location.

The first Figma link in a task description or comment adds a Figma icon to the task sidebar. That panel lists every Figma link on the task, grouped by type, in a grid or a table. Slash command /figma embeds a Figma file in tasks, Docs, Chat, and text cards. Help also lists commands on the personal connection: open Figma in a new tab, create a new Figma design, and create a new Jam.

The OAuth scope Help lists is files:read, which allows reading file and project metadata and documents so ClickUp can index and unfurl Figma content. Disconnect from the App Center if someone should no longer have that link from their ClickUp user.

A dashboard can embed a Figma file with an embed card. That is a report surface, not the review loop. Start with the task and Proofing. Add the card when someone needs the latest frame on an overview. Integration setup context is in ClickUp integrations.

Which plan does a design team actually need?

NeedWhat the sources say
Statuses, a form, Figma link previewsOn every plan. Free Forever limits how many forms you can use
Proofing volume100 uses on Free and Unlimited. Unlimited uses on Business and above
A client who can comment and not editPaid plans. Free Forever guests are full edit on what you share
Storage for attached review files60MB on Free Forever. Unlimited Workspace storage on paid plans
More than a handful of custom field values60 uses on Free Forever, then Unlimited

Start on Free Forever if you are testing the status loop with your own files. Move to Unlimited when a client needs comment access or the attachments pass 60MB. Move to Business when Proofing hits 100 uses or you need the rest of that plan. Confirm the current form cap and guest counts on ClickUp's pricing page before you promise them. The write-up on this site is ClickUp pricing.

Run one request through the form, attach one PNG, and leave three Proofing comments this week. Add the Figma connection after that loop is boring. The tracker is doing its job when the review status matches the file, and the file is the one the approver actually opened.

Frequently asked questions

Can ClickUp replace Figma?

No. Figma remains the file you design in. ClickUp Help describes link previews, an app panel of those links on the task, and commands to open Figma or create a file or a Jam.

How do design reviews work in ClickUp?

ClickUp's design review article recommends three statuses: Design in progress, Design review, and Design approved. Feedback goes on the attached file with Proofing. The approver sends the task back to Design in progress until there is nothing left to mark up.

What files can you comment on with Proofing?

Images in PNG, GIF, JPEG, and WEBP, videos in MP4, WEBM, and Ogg, and PDFs. The file has to be attached to the task. Proofing does not work on cloud storage attachments.

Can a client use the Figma integration?

No. ClickUp Help says guests and limited members cannot use the Figma integration. Guests can use Proofing. The design review article says guests need comment permissions or above for that.

How many Proofing uses are on the free plan?

100 uses on Free Forever and on Unlimited. Business, Business Plus, and Enterprise include unlimited uses. A use is not the same thing as storage.
