Short answer

ClickUp portfolios are Portfolio cards on a Dashboard or Overview. Each row is a List, with progress, due counts, and optional time and milestones. The card starts on Unlimited. It is not on Free Forever, and it cannot be added to Home.

ClickUp portfolios are how you look at many projects without opening each List. The feature is a Portfolio card on a Dashboard or an Overview. You choose Folders, Subfolders, or Lists. The card draws a table. Each row is a List, with columns for progress, overdue work, dates, and, if you turn them on, time and milestones.

The card is not on Free Forever. It starts on Unlimited. If you only need every task in one grid, that is a different screen: ClickUp Everything view, which ClickUp now calls All Tasks. The ClickUp hub links both, plus dashboards and pricing.

What is a ClickUp Portfolio card?

ClickUp Help describes the Portfolio card as a custom Dashboard card that categorizes and tracks task progress in the Workspace. You can select one or more Folders for a high-level view, one or more Lists for specific projects, or a mix of Folders, Subfolders, and Lists.

The table is List-shaped even when you pick a Folder. Help says each row represents a List in the selected locations. A Folder with four Lists becomes four rows, not one rolled-up Folder line. That is the detail to know before you promise a one-row-per-client chart. If each client is a Folder, you will see one row per List inside those Folders. Name the Lists so the row is readable without extra columns.

People only see work they can open. Members and guests without access to the Spaces, Folders, Subfolders, and Lists on the card see only the items they are allowed to access. If they can access none of those items, the card appears empty. That is a permission result, not a broken card.

Dashboards themselves have a use limit that sits underneath the card. Free Forever includes 60 dashboard uses and Unlimited includes 100. Uses do not reset. Business and above include unlimited uses. Portfolio is unavailable on the free plan anyway, so the practical limit for this card is the Unlimited cap until you move to Business. How uses are counted is in ClickUp dashboards.

How do you add a Portfolio card?

Help's steps:

  1. Create a Dashboard or open one you already have.
  2. In the upper-right, click + Add card.
  3. In the left sidebar, select Custom.
  4. Click Portfolio card.
  5. Set the card settings.
  6. Click Add card.

To edit it later, hover the card. You can change quick settings, including filters, or open the settings cog for the full settings.

To remove one List from the card, click the ellipsis on the far right of that row and select Remove from portfolio.

Card settings are mostly about the source:

SettingWhat Help says it does
Folders or SubfoldersInclude those locations. A Subfolder shows when you expand its Folder.
ListsInclude specific Lists, which is how you report on a few projects.
Include SubtasksCount subtasks from the selected locations.
Include Tasks in Multiple ListsCount tasks that were added into the selected locations.
Include Subtasks in Multiple ListsCount those subtasks too. Nested subtasks of subtasks in multiple Lists are not shown.

Turn subtasks on only if your progress math should include them. A List that uses subtasks as checklist items will look more finished, or more overloaded, than a List that uses real tasks. Decide once and use the same setting on the cards you compare.

Columns are separate from the source. In the upper-right of the card, click the plus icon and choose which columns to display.

Which columns should the portfolio show?

Help documents these columns. Several exist only for List rows, which is another reason the card is a List table.

ColumnWhat it showsList only?
ColorThe List colorNo, it is a display column
StatusesA color bar with the count of tasks in each statusNo
ProgressA bar of completed versus outstanding tasks, counting Done and CompleteNo
DoneThe count of tasks in Done or CompleteNo
DueTasks whose due date is before today and whose status is not Done or ClosedNo
CalculationA sum, average, or range on Date, Money, or Number fields, for this card onlyNo
Start, EndStart date and due date set on the ListYes
Priority, OwnerPriority and owner set on the ListYes
Time estimated, Time tracked, Time remainingTotals for tasks in the List, including Done and CompleteYes
PointsSprint Points on the List, including Done and CompleteYes
MilestonesAn icon if the List contains milestones. Hover or click for the namesYes

Start with Statuses, Progress, and Due. That trio answers "are these projects moving, and what is late?" Add Owner and End when someone in a meeting will ask who has the List and when it is supposed to finish. Those dates and the owner come from List Info, not from the earliest task.

Add time columns when the team tracks time and the question is hours, not task counts. Time estimated, time tracked, and time remaining all include tasks in Done and Complete. Time remaining is the difference between estimated and tracked. Native time tracking is included from Unlimited, which is also the first plan with this card. The tracker itself is in ClickUp time tracking.

The Calculation column is not the separate Calculation card. Help says you build a calculation per List that exists only on this Dashboard card, you can limit it to specific statuses, and you can only calculate Date, Money, or Number custom fields. Date can show a range. Money and Number can show sum, average, and range. The standalone Calculation card, the one that charts numbers on its own, starts on Business. Do not confuse the two when you are choosing a plan.

Points and Milestones are useful after you already use those features. Sprint points are marked as a trial on Free Forever and Unlimited in ClickUp's plan comparison, so confirm the Points column in your Workspace before you report from it. A milestone in ClickUp is a task type. The Milestones column shows an icon when the List contains any, and you can hover for the names. How milestones look on a timeline is in ClickUp Gantt chart.

Same statuses across Lists make the color bar readable. If every project invents its own status names, the portfolio becomes a legend nobody remembers. ClickUp for project management is the place to lock that list.

Which plan includes ClickUp portfolios?

ClickUp's card availability table calls Portfolio a standard card.

PlanPortfolio cardDashboard uses
Free ForeverNo60, and they do not reset
UnlimitedYes100
Business and aboveYesUnlimited

Prices were checked in October 2026. Unlimited is $7 per user/month billed annually ($10 monthly). Business is $12 per user/month billed annually ($19 monthly). Enterprise is custom. The step from Free Forever to Unlimited is the one that unlocks this card, along with Goals. That split is in ClickUp Free vs Unlimited.

You can add the card to Dashboards and Overviews. You cannot add it to Home. Exporting individual Dashboard cards is on Business and above. A Portfolio card is not in Help's list of cards with a named export format, so do not promise a CSV of the portfolio from the card export menu. Share the Dashboard instead.

Guests do not create Dashboards or add cards. If you share a Dashboard, a guest's access to the card is still limited by location permissions, and Dashboard permission for guests is view only.

Asana is the alternative when the team wants portfolio reporting with less configuration and will pay more per person. Asana Starter is $10.99 per user/month billed annually. Our comparison notes timelines and portfolios as Asana's strength, and price and breadth as ClickUp's. Read ClickUp vs Asana if the only requirement is a calm rollup of projects. ClickUp fits when the portfolio should sit in the same Workspace as the tasks, the Docs, and the time entries.

Portfolio card, Everything view, or Gantt?

Use the screen that matches the question.

QuestionUse thisWhy
Which projects are late or unfinished?Portfolio cardOne row per List, with progress and a due count
What are all the tasks across Spaces? All Tasks (Everything view)A task grid, not a project rollup
What depends on what, and when?Gantt viewDates and dependency lines
Who is over capacity?Workload viewEffort by person, not by project
What number do we show in a meeting?Dashboard cardsPortfolio plus overdue, assignee, or time cards

All Tasks can hold a Table view of every task you can see. That is the wrong tool when a director wants twelve projects, not twelve hundred tasks. Gantt is the wrong tool when the meeting is about status mix rather than the schedule. Workload answers a capacity question the portfolio does not. ClickUp Workload view covers that view and its own use limits.

A practical first Dashboard on Unlimited is one Portfolio card for active client or product Lists, plus an Overdue Tasks card. Add Milestones on the portfolio when those tasks already exist. Add time columns when the hours are already being tracked. A card full of empty columns does not make the portfolio more serious. It makes the empty data obvious.

Build the Lists first. A portfolio of unnamed Lists, or of one giant List that holds every project, cannot report. The Folder and List structure is the portfolio. The card only displays it.
