Short answer

A creative request process starts with one form that creates one task. Ask for the outcome, the type of work, a due date, and a link to the brief. Triage it on a set day, then move it through a short status path the requester can understand.

A creative request process is the path from "can you make this" to a task someone owns. Without it, requests arrive in chat, email, and hallway asides, and the team rebuilds the brief from memory. With it, every request is one submission, one task, and a status the requester can check.

ClickUp does this with a Form. The feature itself, including sharing and plan limits, is in ClickUp Forms. Design markup on an attached file is in ClickUp for design teams. This page is the intake: which questions to ask, how to triage, and which statuses to use for design, copy, and video in one List. Marketing teams that already run campaigns in ClickUp can hang this List on the setup in ClickUp for marketing teams. The ClickUp hub links forms, fields, and statuses.

What belongs on a creative request form?

Ask for what you need to accept or return the request. Every extra question is a reason someone goes back to chat.

ClickUp Help caps each file uploaded through a Form at 25 MB. A working design file or a long video will not fit. Ask for a link, and attach the review export to the task later. Proofing, which is how you comment on an image, video, or PDF, works on files attached to the task. It does not work on a cloud storage link. That limit is why the form collects the link, and the review file is attached when the work is ready.

Do not ask the requester to invent your internal estimate, your cost, or a status. You set those after triage. Priority is optional. If requesters mark everything urgent, take Priority off the form and set it yourself.

Conditional logic, which shows extra questions based on an answer, is limited to Business Plus and Enterprise. Our price table lists Free Forever, Unlimited at $7 per user/month billed annually, Business at $12, and custom Enterprise. It does not list a Business Plus price. A single dropdown for request type is enough on the plan you already have. Confirm the current form cap on the pricing page: Free Forever limits how many forms you can use.

ClickUp custom fields are how Dropdown, URL, and similar answers live on the task. On Free Forever, custom fields stop accepting new values after 60 uses, so one dropdown is the right start. Not every custom field type can be a form question. Check ClickUp's question list when you build, which is the caution in the Forms guide.

How does a request become a task in ClickUp?

You create the Form from the Views Bar, Forms Hub, or a Space, Folder, or List. Each submission creates a task in the List you select. ClickUp Help says forms are published by default, so preview before you send the link.

Use one List for incoming creative requests, or one List per client if clients must not see each other. A shared queue is fine for an in-house team. An agency should keep client work in that client's Folder, the same boundary described in how to manage multiple clients.

Form settings can apply a task template or assign the new task. That is the "we received it" path: the submission lands with an owner, or in a queue the owner checks. ClickUp automations can also share the new task with the person who submitted, without handing them the rest of the List. Build that after the form fields are stable. An automation on a form people do not use yet only creates noise.

For internal requesters, Account Authenticated Forms restrict submitting to people who already have Workspace access. Leave that off when a client who is not in the Workspace needs to submit. Copy link is the URL you send. The Forms guide covers expiry, embed, and search indexing.

One request, one task. A submission that asks for a banner, a landing page, and a script is three requests. Split them before you start, or you will not be able to say which part is done.

Which statuses should a creative request use?

Keep the path short. ClickUp's status model has Not Started, Active, Done, and a single Closed status you can rename but cannot multiply. ClickUp custom statuses explains the groups. A path that matches those groups:

StatusGroupWho moves itMeaning
NewNot StartedThe form, when the task is createdNobody has accepted it
In progressActiveThe owner, when work startsSomeone is making it
Internal reviewActiveThe owner, when a teammate should check itNot ready for the requester
Client reviewActiveThe owner, when the requester should respondWaiting on feedback
DeliveredDoneThe owner, when the file is handed offStill visible, not buried
CompleteClosedYou, when no follow-up remainsHidden in List view until you show closed tasks

Put these statuses on the Space so every creative List inherits the same names. Different names on every List make a board across Folders unreadable.

Design reviews can use a tighter set on the design List. ClickUp's design review article recommends Design in progress, Design review, and Design approved, with Proofing comments on the attachment. Use that set when the work is design and the approver marks up a file. Use the table above when one queue holds copy, design, and short video. Video delivery steps beyond intake are in ClickUp for video production.

Guests can comment if you invite them with comment permission or above. On Free Forever, guests get full edit on what you share. Comment-only and view-only guest permissions start on paid plans. Read ClickUp guest access before a client is in the review status.

How do you triage without a meeting?

Triage is a recurring task, not a standing call. Once each weekday, or twice a week if volume is low, the owner opens everything in New.

For each task:

  1. If the outcome or the date is missing, comment on the task and leave it in New. Do not start work from a guess.
  2. If it is really three requests, create the extra tasks and link them before anyone designs.
  3. Set the owner, the priority, and a due date your team can keep. The requester's date is an input. It is not automatically the plan.
  4. Move accepted work to In progress, or leave a start date if it is queued behind current work.

Say the response window on the form in plain language, such as "requests are reviewed on weekday mornings." That is a promise you chose, not a metric you have to invent. Missing it teaches people to ping you in chat, which is the process you were trying to leave.

A dashboard card for tasks in New, once you are on Unlimited, shows whether triage is slipping. Overdue Tasks and a Task List are the standard cards. Details and use limits are in ClickUp dashboards. Free Forever's 60 dashboard uses do not reset, and viewing counts, so do not build the report until the List is the real queue.

When is this process too much?

Skip the form if you are one person and the only requester is you. A List with the statuses above is enough. Add the form when a second person starts sending work, or when requests are getting lost.

Skip a branching form until the short form has been used for a few weeks. You will learn which question is actually missing. Adding conditional logic on day one, on a plan that may not include it, delays the queue.

Asana is the more polished option if the team wants a clean request path and will not use Proofing, a Figma link preview, or the rest of the company Workspace. ClickUp fits when the request, the brief, and the review comments should land on the same task the marketing or delivery team already opens.

Prices checked October 2026. Free Forever is $0. Unlimited is $7 per user/month billed annually ($10 monthly). Business is $12 billed annually ($19 monthly). Design and video files meet the free plan's 60MB storage cap quickly. That limit will matter sooner than the status names, which you can create on the free plan.

Frequently asked questions

What is a creative request form?

A form that collects the outcome, the type of work, a due date, and a link to the brief, then creates a task your team can assign and track. In ClickUp, each submission becomes a task in the List you chose.

What should a creative request include?

Who asked, what done looks like, the request type, the date it is needed, and a link to examples or the brief. A file over 25 MB should be a link. ClickUp caps each form upload at 25 MB.

How do you prioritize creative requests?

Let the team set priority during triage, unless the requester already uses the same priority scale you do. A dropdown for request type is more useful than five levels of urgency chosen by the sender.

Can ClickUp Forms show different questions for design and copy?

Conditional logic, which reveals questions based on an answer, is on Business Plus and Enterprise. A short form with one dropdown for request type does not need it. Our price table does not list a Business Plus rate.

Where does design feedback go after intake?

On the attached review file, using Proofing, once the task is in review. ClickUp's design review article uses Design in progress, Design review, and Design approved. The request form is how the task is created, not how the pixels are marked up.
