Short answer

ClickUp for real estate holds the work around a deal: listing tasks, showing follow-ups, and client checklists. The MLS, contracts, and escrow stay in the systems built for them. Use one List per kind of work so those workflows do not share statuses.

ClickUp for real estate is a place to run the work around a deal, not the deal itself. The MLS, the contract packet, and escrow stay in the systems your brokerage already trusts. The photographer who has not confirmed, the showing that needs feedback, and the seller who asked for a call on Thursday belong in a workspace you actually open.

That split is what keeps the tool useful. Agents get stuck when they try to mirror every listing as a permanent database and then abandon the board. Track work that has an owner and a date. Leave the catalog of active inventory where buyers search.

The setup below is a small one on purpose. A wider tour of the product is on the ClickUp hub, and the review of who it suits is on the ClickUp review. If the interface already feels crowded, read is ClickUp too complicated before you add a second Space.

Is ClickUp for real estate a fit?

Use it when listings slip because photos, the sign, the copy, and the MLS entry live in different text threads. Use it when buyer follow-ups have no owner. Use it when the "pipeline" is a spreadsheet that only one person updates.

Skip it, or keep it very small, if the only problem is the MLS itself. ClickUp will not syndicate a listing, calculate a commission, or hold escrow. It also will not replace the showing service or lockbox system you already use. Link those records from the task. Do not rebuild them.

monday.com suits a team that wants a visual pipeline board and will adopt it quickly. Work Management Basic is about $9 per seat/month on annual billing. Asana is the more polished project tool, at $10.99 per user/month on Starter billed annually, and it is lighter on docs at that price. Trello is the easier board if the whole business is one set of columns and you do not need docs, forms, and dates in the same place. ClickUp fits when the brief, the tasks, and the client update should be one subscription. Unlimited is $7 per user/month billed annually ($10 monthly). Prices were checked in October 2026.

The trade-off is setup. ClickUp can model a listing in detail, and it will feel busy if you turn on every view on day one. Start with four Lists.

How should you organize listings, showings, and clients?

One Space is enough for a single team or a solo agent. A second office can be a second Folder until the people truly do not share work.

ListOne task isStatus ideaView to open
ListingsA property moving to market or under contractLead, Pre-list, Active, Under contract, ClosedBoard
ShowingsA showing or an open houseRequested, Confirmed, DoneCalendar
ClientsAn open follow-up with a buyer or sellerNew, Active, Waiting, ClosedList
VendorsA chase with a photographer, stager, or inspectorWaiting, Scheduled, DoneList

Do not force those four Lists to share statuses. A showing and a listing do not move through the same stages. ClickUp custom statuses covers how to set statuses on a List without breaking the rest of the Space. Closed statuses hide in List view until you click Show closed, so a listing you still need on the board should sit in a Done-style status until it is truly finished.

ClickUp templates let you save a listing task after the first one works: photos, copy, sign, MLS entry, and the go-live task. The next property starts from that task instead of a blank page. Templates are on every plan. A task template can include subtasks, checklists, and custom fields. Formula fields are not included, and a task is limited to 1,000 subtasks.

How do you run a listing from intake to active?

A new listing starts as a request, not as a novel in chat. A ClickUp Form creates a task in the List you choose. Each submission is one task. Conditional questions, which change based on an earlier answer, need Business Plus or Enterprise. Free Forever limits how many forms you can use, so confirm the cap on the pricing page before you publish a form to every agent in the office. Each file uploaded through a form is limited to 25 MB. House photos belong in your existing drive, with the link on the task.

Fields worth adding, if you will filter on them:

  • Address, using the Location field ClickUp documents for an address and Map view
  • Side, a Dropdown such as Listing or Buyer
  • List price, a Money field
  • Target live date and target close, both Date fields

Free Forever includes 60 custom field uses, counted when you set a value on a task. Creating the field does not count. Unlimited and above include unlimited uses. Required fields start on Business. The type list is in ClickUp custom fields.

Give the go-live task one assignee and one due date. That date is when the listing should be public, not a vague "soon." Earlier tasks (photos, copy, sign) get their own dates. ClickUp task dependencies are on every plan: a task either blocks another or is waiting on one. Photos should block the "publish" task if the page cannot go up without them. The walkthrough is in ClickUp task dependencies.

Short punches on the same task, such as "order the lockbox" and "confirm the sign vendor," can be a checklist. Work that needs its own assignee and date should be a subtask. The choice is in ClickUp subtasks vs checklists.

A listing with no date on the publish task is a wish list. If nothing is due, you are collecting ideas, not running a listing.

How do you share updates with clients?

Sellers want to know what happened this week. They do not need a login to your other clients, your commission notes, or an internal critique of the photos.

ClickUp guest access is how you share a Folder, a List, or a task. On Free Forever, guests get full create and edit access on whatever you share. You cannot limit them to view or comment. Unlimited adds permission-controlled guest seats: 5 for one paid user, plus 2 for each additional paid user, and unlimited view-only guests. If you run out of those seats, the next person is billed like a member. People on your organization's email domain are treated as members on paid plans, not guests.

A practical pattern: one Folder per client, Lists inside it for the active listing or search, and the client invited only to that Folder. Keep pricing notes and other clients in a Space you do not share. Put the weekly update in a Doc linked from the Folder. ClickUp Docs are on every plan.

Showings are dated work. Calendar view displays tasks that have a start date, a due date, or both, and you can drag a task to another day. All plans include unlimited uses of Calendar view. If you also live in Google Calendar, the ClickUp Google Calendar integration can sync dated tasks to a calendar you own. It cannot sync to a shared Google Calendar. Closed tasks and tasks with only a past due date do not sync.

Free Forever includes 60MB of storage, and file attachments count against it. Do not upload a full photo set into ClickUp. Store the files in Google Drive, which is one of the integrations ClickUp lists, and paste the link on the task.

What should stay outside ClickUp?

WorkWhere it belongs
Listing search and syndicationYour MLS
Contracts, disclosures, and e-signThe brokerage's transaction tool
Escrow, commissions, and accountingYour existing finance process
Lockbox and showing logistics you already run elsewhereThat system, with a link on the ClickUp task
The checklist, the owner, and the dateClickUp

Start with the four Lists, one listing template, and a form for new intake. Add Gantt only when a listing has a real date chain. ClickUp Help lists 60 Gantt uses on Free Forever and unlimited Gantt view on Unlimited and above. A three-step photo fix does not need a timeline.

If the board is still empty after two weeks, the statuses are probably fighting the way you already work. Rename them to the words the team says out loud, then stop adding views.

Frequently asked questions

Is ClickUp good for real estate?

Yes, for the coordination around a deal: listing tasks, showings, vendor follow-ups, and client checklists. It does not replace an MLS, e-sign, or escrow system.

Can ClickUp replace an MLS?

No. Keep listing distribution, offers, and compliance records in the tools your brokerage already uses. ClickUp tracks the work that has an owner and a date.

Can clients see their listing tasks in ClickUp?

Yes, with guest access. On Free Forever, guests get full edit on whatever you share. Permission-controlled guests, including view and comment, start on paid plans.

Which ClickUp plan do agents need?

Free Forever can hold the Lists. Unlimited, at $7 per user/month billed annually, is the usual step once you need permission-controlled guests or unlimited custom field uses. Prices were checked in October 2026.

Can you put a property address on a ClickUp task?

Yes. ClickUp documents a Location custom field for an address, used with Map view. A Money field can hold a list price, and a Date field can hold a target close.
