Plan a Project Before the Dates Collide
How to plan a project in a short sequence: outcome, tasks, order, owners, and dates, with a ClickUp List as the working example.

Short answer
Plan a project by naming the outcome, listing the tasks, marking what blocks what, and putting one owner and one date on each task. In ClickUp that is a List, a brief Doc, dependencies, and a milestone for the result.
How to plan a project is a sequence, not a software tour. You name the result, write the work that produces it, put that work in order, and give each piece an owner and a date. The plan is finished when a person who missed the meeting could start the first task without asking what the project is.

What does a usable project plan include?
Five parts, in this order. Skipping ahead to a colorful timeline is why plans look done and then stall.

A milestone is the outcome with a date. It is not a week of work. "Pricing page live" is a milestone. "Write the pricing page" is a task. The difference is in what is a project milestone.
Out of scope belongs in the plan even though it is not a task. The project brief template is the page for that sentence. The plan and the brief should not contradict each other. If they do, fix the brief first. Tasks follow the page, not the other way around.
How do you plan a project before you assign dates?
Write tasks as finished results, not as topics. "Homepage copy approved" tells you when to move the status. "Homepage" does not.
Then mark order only where it is real. Design can block build. Build does not need to block a separate FAQ draft unless the same person must do both and you are protecting their calendar. ClickUp dependencies are on every plan. A task either blocks another or is waiting on one. With the reschedule option on, a date change on the blocking task can move the task that is waiting. Keep the first pass small enough to review in one sitting:
- List every deliverable from the brief.
- Under each, add the few tasks that produce it. Stop at the level one person can finish.
- Draw the real blocks. If you cannot say the sentence "this cannot finish until that is done," do not add a dependency.
- Assign one owner per task. A reviewer can be a comment or a short subtask.
- Put dates on the milestone and on the tasks that feed it. Work backward from the milestone if the end date is fixed. Work forward if it is not.
A task with no owner will not show up in anyone's week. A task with no date will not show on a calendar. Both are allowed while you are still drafting. Neither should survive the planning meeting.
How do you set this plan up in ClickUp?
Use the hierarchy as containers, not as the plan itself.
- Space: the team or the line of work.
- Folder: a client or a product area, if you have several projects.
- List: this project.
- Task: one piece of work.
- Doc: the brief, linked to the List.
Statuses can stay simple: To do, In progress, Blocked, Done. ClickUp custom statuses explains the groups. "Blocked" is optional if you already use dependencies, but a status is easier to scan on a board.
Due dates are on every plan, including for guests. Set them in List view. Open Calendar view when you want the week on a grid. Tasks without a start or due date do not appear there. Mark the outcome task as a milestone if you want the diamond on that timeline. Put the URL or the acceptance note on that task when it is actually done.
A practical first board:

Those dates are an illustration. Replace them. The shape is what to copy: one block, then the next, with a milestone at the end.

How do you keep the plan current?
A plan that never changes is a poster. Update it when one of these happens.
- A blocking task slips. Move the downstream dates, or cut scope.
- A new request appears. If it is out of scope, write that in the brief and do not add the task. If it is in scope, add the task with an owner.
- Someone is on two milestones the same week. Look at the List grouped by assignee before you promise the date.
You do not need a dashboard to do this. A List filtered to due this week is the review. Dashboards help when many projects must be counted. Their use limits are in ClickUp dashboards.
Recurring work, such as a weekly status note, should be a recurring task, not a new project. Recurring tasks are on every plan and need a due date. See ClickUp recurring tasks.

Write the outcome, put the tasks on one List, and add only the dependencies you can say out loud. That is a project plan. The Gantt chart can wait until the dates start to collide.
